How to write a letter of complaint

Whether you have an issue with your boss or you simply need to show your dissatisfaction with somebody in a professional environment, you need to know how to write a proper letter of complaint. Although it seems easy, many people have trouble getting their complaint across in a proficient and concise manner. Here, I will show you the basic guidelines to writing a proper letter of complaint in a professional setting.

Sea que tenga un problema con su jefe o simplemente necesite mostrar su insatisfacción a alguien en un ambiente profesional (laboral) es necesario saber como escribir una carta de queja en forma correcta. Aunque parezca fácil muchas personas tiene dificultad en dar a conocer su descontento y ser concisos a la hora de escribir una queja. Les escribo a continuación una guía de cómo escribir una carta de queja en forma correcta.

TONE & GRAMMAR

When writing a letter of complaint, you must remember to use appropriate language in order for your complaint to be taken seriously. In a professional setting, you must use a more formal tone than “everyday” conversation, so refrain from using slang and unnecessary abbreviations that do not pertain to your job or complaint.

Also, remember to try and sound as calm as possible, even if you are upset or if the complaint is a dealing with an emergency. No matter how upset you are, do not resort to insults or any sort of aggressive, sarcastic, or threatening tone. It will make you look very unprofessional and your complaint will be taken less seriously. If there is a certain action that you would like to emphasize, you should use the passive voice. Otherwise, try to use the active voice, as it tends to sound more professional, in terms of a written note.

Cuando se escribe una carta de queja se debe recordar utilizar un lenguaje apropiado para que la queja sea tomada en seriamente. En un ambiente profesional debe utilizar un lenguaje mas formal que el que utiliza cotidianamente. Por favor no utilice coloquialismos, abreviaciones que no tengan que ver con el uso diario en su trabajo. Recuerde también mantener un tono calmo, aunque se encuentre enojado o sea una emergencia. Sin importar lo enojado que este evite a toda costa los insultos, agresiones de todo tipo, comentarios sarcásticos y las amenazas, ya que esto se vera como poco profesional y su queja no será tomada con la seriedad que requiere. Si usted desea enfatizar una acción específica debe hacer uso (en Ingles) de la voz pasiva, de lo contrario trate de usar la voz activa ya que lo hará verse mas profesional a la hora de redactar.

STRUCTURE OF THE LETTER

To begin the letter, remember to properly address to person you are sending the complaint to. Make sure to include their name, title, company, address, and today’s date. After that, begin the letter with the standard “Dear, (name of person)”, and then introduce your complaint. In the introduction, you should try to be short and concise; introducing the problem but try to be too detailed quite yet. Just start by showing the problem and why you are complaining. You may also state where the problem occurred if it is necessary to your complaint.
Afterwards, continue to get into more detail about your problem and why it is worthy of a grievance. Once again, do not use any aggressive, sarcastic or threatening tones. Also, try not to be too personal, if possible, as this is a professional complaint in a business setting. Usually, when writing becomes too personal it also tends to be viewed as more informal, thus nullifying your aims to sound as professional as possible.
Once you have stated a detailed summary or you problem or complaint, you should take the time to write a couple of possible resolutions to the problem. Not only does this show the reader that you sincerely care about resolving the issue at hand, but it also shows that you are trying to make their life a little easier by helping them think of how to solve the issue. Subconsciously, they will start reading the letter in a more sympathetic tone and it should assist you in getting your problem addressed quickly and in a way that you would like.
Finally, you should thank them for their time and show your appreciation for their help. You should also give them any information on how to contact you and that you will be waiting for their reply. Finish the letter with an appropriate ending, such as “sincerely” or “yours truly” and your name.

Before sending the letter, remember to proofread at least once and make sure that you have entered all the necessary information for your problem to get resolved as quickly as possible. It may also be helpful to have another person read over your letter, as they may be able to see some mistakes or poorly worded sentences that you might not have noticed.

ESTRUCTURA DE LA CARTA

Cuando comienza una carta recuerde dirigirla a la persona a quien recibira su queja. Asegúrese de incluir el nombre, el puesto, la compañía, la dirección y la fecha en que se la entrega.
Como cualquier carta estándar comience con “Dear (nombre)”. En otro párrafo viene la introducción, la cual debe ser concisa y corta. Aquí solo debe introducir el problema pero no se explaye todavía. Solo debe hablar de su problema y de la queja, además de aclarar cuando ocurrió dicho problema, de ser necesario.
Una vez finalizada la introducción se pasa al cuerpo de la carta, en donde se habla en detalle de los acontecimientos y del por que de la queja. Como he mencionado anteriormente no utilice un tono agresivo, sarcástico o amenazante. De ser posible intente no escribir de una manera muy personal ya que es una carta de queja en un ambiente profesional. En general cuando la carta se escribe utilizando un tono personal suele ser vista como una carta mas informal la cual tendrá un efecto adverso al esperado ya que desea ser profesional. Luego de detallar la queja escriba un par de posibles soluciones. Esto demostrara al lector no solo que espera una resolución al problema sino que también quiere ayudar con soluciones haciéndole la vida mas fácil al lector. Inconscientemente, el lector comienza a leer la carta de otra manera y esto lo asistirá a usted ya que recibirá una solución rápida y de la manera que usted desea.
Finalmente debe agradecer al lector por su tiempo y su asistencia, quedando a la espera de su respuesta. No olvide dar información sobre como contactarlo. Para terminar su carta puede utilizar palabras como “Yours sincerely”, “Yours truly” luego de lo cual debe poner su nombre.
Antes de enviar la carta recuerde revisarla por lo menos una vez asegurándose de haber colocado la información necesaria para resolver su problema de forma expeditiva. Puede ser útil que otra persona lea la carta ya que podría encontrar errores u oraciones que no estén claras.
